Initial Services: Lock changes, bids and estimates on any damages, yard cut, debris removal – all dependent on the requirements of the client and loan type.

Securing Services: Lock changes, lockboxes, padlocks, boarding, security doors, etc. Anything required by the client to make sure the property is secured from vandals, vagrants, and other unforeseeable things.

Debris Removal: We will remove all exterior and interior debris from property per work order provided. We measure amount of debris by cubic yards. We follow FHA/ HUD and Conventional guidelines for the amount charged per cubic yard removed. We will also dispose of the debris at a local or regional landfill.

Yard Maintenance: This includes a lawn cut, weed eating, and trimming bushes per the allowable set forth by the FHA/ HUD, Conventional, and Veterans Benefits Administration regulations and guidelines. If the property has grass over 16” or a lot size over 15,000 square feet, we will provide a bid or estimate to cut the “over allowable” lot.

Janitorial Services : This includes removing debris from property, any pool or spa work, providing air fresheners, cleaning of the restrooms, providing estimates for any damages or repairs needed, sweeping floors after debris removal, and winterizing property within the dates set for by the state regulations.

Scope of Repairs/ Bid: We will provide a bid or estimate for any repairs or damages seen at the property. We will not do any work at that time; however, we will provide a detailed list of items that need to be fixed or removed or replaced. We can also do itemized bids for specific things. For example, if the client only wants a bid or estimate for mold growth and remediation and abatement, we can provide a document with just those specific items on it.

REO Eviction Services: Meet with Sheriff per appointment, and proceed to secure property and remove debris per Sheriff’s instructions, as well as provide a bid or estimate for further work.

Monthly Services:

Yard Maintenance: Cutting the property’s lawn twice a month to keep the yard clean and manicured.

Janitorial Services: Cleaning, repairing, bringing property up to convey condition.

REO Grass cuts: Yard maintenance on property – lawn cut, weed eating, trimming bushes and edges.

REO Repair/ Bid Approval: We will go out to the property and do repairs or bid approvals on specific things on the work order from the client.

Cash for Keys: The mortgage company will provide a certain amount for the property for the keys and rights to it.

Preservation Services

Allow Access: We will allow access to a third party into the property per work order.

Board Up: Boarding and Screening of doors and windows.

Correct Violations: If the city or local government posts a property violation, we will endeavor to cure, or correct, those violations.

Abatement: We can perform jobs or provide bids to get rid of mold, pests, fleas, etc. on a property.

Damage Reporting: This requires that we provide a large scale, in depth document that provides the damage, the cause, the cure, and the amount for said work. This is also known as a Damage Report or a Line by Line.

Debris removal: To remove all sorts of debris from a property: interior, exterior, hazardous, etc.

Bids/ estimates: To either provide a large bid/ estimate of all the damages and cosmetic issues on the property, or to provide a bid/ estimate on a specific issue for the client.

Evictions: To meet the Sheriff, change locks, remove debris per Sheriff, and perform any other work per the client.

Fire and police reports: Per your specifications on a property.

Lawn Maintenance: Cut and maintain a property’s lawn per client’s work order.

Lock Changes: Change locks on specified access doors and type of lock per loan type and clients’ work orders.

Securing: Boarding windows, securing doors with padlocks and hasps or knob locks, security doors, etc.

Minor And Major Repairs: Depends on the bids/estimates provided for the property, and the bid approvals we receive from the client.

Pest Elimination: refer back to abatement.

Pool And Spa Securing, Draining, Or Removal: Secure, shock, cover, and drain pools (above and in-ground), spas, and secure any gates to prevent unauthorized entry.

Roof Tarping

Snow Removal

Sump Pumps: Test operationally, repair, or replace.

Water Pumps: Test, repair, or replace.

Utility Orders And Transfers And Restoration

Vacant Property Posting And Registration

Winterizations: During winterization season for state: dry, radiant, wet, and steam winterizations provided.

Insurance Loss and Loss Draft: At the behest of the client, we’ll go to the property, after making an appointment, make a list of all the damages and causes, repairs done thus far, and provide supporting photos.

Gain Access or Allow Access: If unable to gain access to property structure/unit/condo/complex/etc., then we must make up to three (3) attempts on separate days, if necessary, to gain access. It is mandatory for us to document specific dates and times for each attempt made. If on the third attempt access is still not possible, take a photo and attempt to obtain or research the contact name and phone number for the homeowners’ association or management company. If there is no contact information, this should be noted in the completion report comments. We also will contact the utility company to check on status of utilities. Also, if we encounter a problem with gated communities, we will present a letter from the client to gain access.

Disaster or Damage: see Insurance Loss or Loss Draft. These are sent out when there is a natural disaster to check the status of the property.

Walk Thru: We walk the interior and exterior of the property to determine its condition, noting all new and pre-existing damage and its location. If we are unable to gain entry (keys do not fit), details of “why” our keys did not fit the lock will be documented in the comment section of our inspection form.

Bankruptcy: We don’t make contact with the occupant; however, we may contact a neighbor to ask if the property is occupied or vacant. You may not discuss any other information with a neighbor. We do not leave a call back card with anyone or at the property. If the property is confirmed to be vacant, we are required to perform a complete exterior inspection.

Drive by/ No Contact: We don’t make contact with the occupant; however, we will contact a neighbor at the property to see if it’s occupied or vacant. We will not discuss any information with the neighbor or leave a call back card with anyone at the property. 

Verify Occupancy: Contact is allowed but not required to verify occupancy status and/or obtain occupant’s name. We will indicate the condition of the property and report any damage. We will provide documentation on how this information was obtained and the name, title and contact number of any personnel we speak to;  all documentation will be clearly noted in the inspection comments section.

Interview: We will attempt to make direct contact with the occupant and obtain the occupant’s name and phone number. If direct contact cannot be made, we will utilize the “T” approach with these interview inspections, meaning that the interviews will need to be completed with all surrounding neighbors. Surrounding neighbors will be visited as the neighbors to both the left and the right side of the property, and also with the neighbor directly across the street from the property. We leave a call back card with the mortgagor/borrower only.
